You’re not trying to “do something shady.” You’re trying to get work done faster.
That’s exactly why AI incidents happen: normal people paste normal work into a tool that feels like a private assistant… and only later realise it was a data disclosure. The damage isn’t always dramatic. It’s usually boring, procedural, and expensive: an audit question you can’t answer, a client complaint you can’t unpick, or a manager asking why something confidential ended up somewhere it shouldn’t.
This guide is the practical middle ground: not paranoid, not naïve. Just the habits that keep you useful without becoming the person who triggers the awkward all-hands.
Common security misconceptions
“If it’s a paid plan, it’s automatically safe”
Not necessarily.

- Enterprise offerings often have stronger defaults (and contract terms) around training and data handling — but that only helps if you’re actually using the enterprise version.

“No one will ever see my prompts”
Also not a safe assumption.
Even when a vendor isn’t training on your data, prompts and outputs can still be processed, logged, or retained for safety/abuse monitoring depending on the service. “It’s fine if I remove the company name”
Sometimes that’s still identifiable.
If you paste a “sanitised” snippet that includes:

…it can still be sensitive, still linkable, still messy.
“Copilot is inside our tenant, so it can’t create risk”
Enterprise tools reduce some risks, not all.

1) Your organisation has a clear AI policy

What “good” looks like:
- You know which tools are approved (and which aren’t).
- You know what data types are allowed.
- You know the purpose boundaries (e.g., “drafting public copy” yes, “client data analysis” no).

- replace exact numbers with ranges (e.g., “~£50–60k”)
- remove dates that pinpoint an event
- remove unique phrases someone could search

2) Use enterprise AI when it’s truly enterprise
Not all “work use” is enterprise use.
Look for signs you’re in the safer lane:
- SSO / managed account
- admin-controlled settings
- contractual commitments on training and data use

Important: these are still not a license to paste anything. They’re one layer in a bigger stack.
3) Assume outputs can be wrong (and you’re still accountable)
For professional settings, treat AI output like:
- a junior colleague drafted it fast,
- confident tone,
- mixed accuracy.
You own the final. Always.
Example failure case (realistic):
An employee uses AI to “summarise regulatory requirements” for a client-facing slide. It confidently includes an incorrect claim. Client catches it. Now you’re explaining your quality control process, not your creativity.
4) Don’t feed AI the keys to your house
Never paste:
- credentials,
- “temporary” access codes,
- internal security procedures with exploitable detail.

If you’re using AI on anything sensitive-ish (even redacted), keep a short note:
- what tool you used (and why it was approved)
- what data type you included (and what you removed)
- what you verified after
