The core framework: Context + Role + Constraints (plus “Definition of Done”)

If you remember one thing: the model can’t read your mind, and it shouldn’t try. Your job is to reduce guesswork.

A reliable professional prompt has five parts:

  1. Task — what you want produced
  2. Context — what the model needs to know to do it properly
  3. Role — the lens/stance it should take (not cosplay, just perspective)
  4. Constraints — what must be true / what must be avoided

Stop doing this

  • “Make this better” (better how?)
  • “Write a professional email” (to whom? for what outcome?)
  • “Summarize this” (for what decision/action?)
  • One-shot prompting for high-stakes output (iteration is cheaper than cleanup)

Iterative prompting: how to refine without wasting time

Iteration isn’t “keep trying.” It’s a controlled loop.

The 3-pass loop (fast, not fussy)

Pass 1 — Draft

  • Get the structure right.
  • Don’t obsess over perfect phrasing yet.

Pass 2 — Tighten

  • Add constraints where it drifted.

Template 1: The Professional Output Spec (default for most tasks)

Use this when you want consistent results for writing, summarising, planning, or analysis.

Template 4: The Stakeholder Pack Template (one input → multiple outputs)

Use when you need consistency across channels (email + Slack + slide notes).

When tables are the right tool (and when they’re not)

A simple rule:

  • Use a table when you’re comparing, choosing, or tracking.
  • Use bullets when you’re explaining or summarising.
